  1. Prepare your request table

    For a client brief, create fields for the client, email, project, requested date, and brief. Add an internal review status and decide who will pick up new requests.

  2. Connect the form in Zapier

    Choose Youform’s New Submission trigger and select your form. Connect Airtable, choose Create Record, and select the destination base and table.

  3. Map the answers to fields

    Match the contact and project answers to their Airtable fields. Check date formats and select options, and set an initial status such as Needs review in your workflow.

  4. Check the resulting record

    Test with sample data before activating the workflow. Check the destination, field values, and review status. Decide how repeat submissions should be handled and who monitors failed runs.

Is this a native Youform integration?
This connection uses Zapier between Youform and Airtable. You configure the action and field mapping in Zapier.
Which actions can I use?
Choose from the actions currently available for Airtable in Zapier. Your connected account and the fields required by that action determine what you can send.
How should I map answers to Airtable fields?
Choose the base and table, then match each answer to a compatible field. Check select options, dates, numbers, and attachments separately; a value that looks right as text may need a different format in Airtable.
When would I choose Airtable over a spreadsheet?
Use Airtable when the answers need linked records, different views, or a workflow around each record. A spreadsheet may be enough when you mainly need rows, calculations, and charts.
Which plan do I need?
Youform offers unlimited forms and responses on its free plan, within fair usage guidelines. Check the current plans for your chosen features. Any connected app or automation service has its own pricing and usage limits.
Can a submission update an existing Airtable record?
Yes, through a configured Zapier action. Choose Create or Update Record, or find the target record before an Update Record action. Decide how to identify the right record and which fields may change. This is a submission-to-record workflow, not a native Youform record-editing interface.
How should I handle repeat submissions?
Choose whether each submission is a new request or a change to an existing one. A client email alone may match several projects. Define a suitable matching field, check unmatched cases, and review the fields an update will overwrite before activating it.
